Authorisation letter format

A certificate in an organisation's name needs an authorisation letter. Print this format on your letterhead, fill in the name of the person applying, and have the authorised signatory sign and stamp it. Send it to us with your other documents.

This format is for XtraTrust. If your certificate is from another Certifying Authority, ask us for its format.

What to keep ready for the video KYC

The video KYC is mandatory for every Class 2 and Class 3 certificate. The Certifying Authority runs it live. We stay on the phone with you through it.

  • On the paperless Aadhaar route you show no documents in the video. The officer checks your face against the Aadhaar photo and confirms the details on screen. A quiet, well-lit room helps.
  • On the PAN method you hold the original PAN card and the address proof up to the camera, clear and readable. Use the original documents, not a photo of a document or a screen.
  • For organisation and DGFT certificates the authorised signatory does the video KYC. Keep the original PAN card, the authorisation letter, and any entity documents the officer asks for ready.

You need a desktop or laptop with a working webcam and microphone. Use the latest Chrome, Firefox or Opera. A steady internet connection helps. The recording must be live. The Certifying Authority may ask for at least 20 seconds. No pre-recorded clip is accepted.

Documents for the PAN method

If your Aadhaar is not linked to a phone you can receive an OTP on, tell us and we apply through the PAN method instead. The list is the same as the individual filings fallback above, with a scanned PAN card in place of a linked Aadhaar and a wider choice of address proof.

For the PAN method

  • Scanned copy of your PAN card
  • Passport-size photo
  • Government address proof: a passport, driving licence, voter ID, bank statement signed by the bank, or a utility bill from the last 3 months
  • A mobile number registered in your own name, and an email address

On the Aadhaar method you show no documents in the video KYC. On the PAN method you hold the original PAN card and the address proof up to the camera, clear and readable, so the Certifying Authority can read them.

The Certifying Authority checks the mobile number against telecom or bank records, so a number registered in another name will not work.
